Introductions and the purpose of this review

01 · AmaraCollections

Welcome to the collections review. I am Amara, the curator responsible for the river communities collection. This is an internal planning conversation on Saturday, October tenth, arranged because our community partners are available today. We are reviewing a request to return a ceremonial drum that entered our museum in nineteen thirty-two. The people and institutions in this exercise are fictional. Our task is to decide how to investigate the request fairly, not to announce an ownership finding before reviewing the evidence. Please introduce your role and identify anything you need from the other teams to contribute effectively.

02 · BenCollections

I am Ben, the collections researcher. I have examined the acquisition register, the donor's correspondence, and photographs of the drum taken before its arrival. The register describes a gift, but it does not identify the person who originally transferred the object to the donor. That leaves a gap in the record. I can distinguish what our documents establish from what researchers have inferred, although I cannot fill that gap through speculation. I need help arranging conversations with community historians and understanding which information may be sensitive. Some records mention ceremonies whose details should not automatically become public exhibition material.

03 · SoraCommunity Partnerships

Sora here, leading Community Partnerships. The request came from a cultural council that represents several villages, but two village associations have asked to participate separately. We should not assume that one letter captures every perspective. My team can coordinate introductions and arrange interpretation when needed. I would like us to agree that participation does not require people to accept our account of the drum's history. They must be able to challenge it. We also need to compensate contributors for their time without implying that payment purchases agreement. Tomas has been mapping the different contacts and will explain the current situation.

04 · TomasCommunity Partnerships

I am Tomas, the partnerships coordinator. I have spoken with the council secretary and the two associations, but I have not asked anyone to appoint a single spokesperson. Their interests overlap without being identical. One group emphasizes ceremonial use, another wants access for younger learners, and the council is concerned about the authority to decide where the drum belongs. I need a clear explanation of our review process so I can answer questions consistently. People have asked whether consultation is meaningful or whether the museum has already decided to keep the object. We must answer that question through our conduct.

05 · ElenaVisitor Experience

I am Elena from Visitor Experience. My responsibility is to help visitors understand collections without presenting uncertain claims as settled facts. The drum is currently displayed in our permanent gallery, and its label says it was generously donated. That wording describes the final transfer to the museum but says nothing about earlier possession. I am concerned that visitors will read it as evidence of consent throughout the object's history. I can revise interpretation and manage changes to the gallery. I need guidance on what we can explain now and what should wait until the contributors have reviewed our description.

Evidence, assumptions, and the agenda

06 · AmaraCollections

Our agenda has three questions: what information is missing, who should contribute to the review, and how we handle the display while that review proceeds. We should keep ownership, physical care, and public interpretation distinct. A concern about transport cannot by itself settle ownership, and an engaging exhibition cannot justify retaining an object. I propose a joint evidence review followed by a recommendation to the collections committee. The committee, rather than this group, has authority under our internal policy to decide a permanent transfer. We can recommend an approach today, but we must make the limits of our authority visible.

07 · BenCollections

The available evidence points in different directions. A shipping document confirms that the donor sent the drum here, while a handwritten note claims it was exchanged for medical supplies. We have no receipt from the original holder and no independent confirmation of that exchange. A photograph shows the drum at a ceremony five years before shipment, which may help community historians identify its custodians. I suggest building an evidence map that lists each source, its date, and its limitations. We should record conflicting accounts alongside each other, rather than select whichever version makes our institution look most comfortable.

08 · SoraCommunity Partnerships

I agree about recording uncertainty, but I want to push back on treating written records as the default standard. Oral accounts may preserve information that the donor never considered important enough to write down. If we ask contributors to prove every account through a museum document, the review will reproduce the original imbalance. Could our evidence map identify the context and source of oral testimony without ranking it automatically below correspondence? We should ask how each account was transmitted and whether different people independently describe the same event. That gives us a thoughtful method without dismissing knowledge because of its format.

09 · BenCollections

That is a fair challenge, and I can adjust the method. When I said source limitations, I meant limitations for all sources, including our own records. A donor's letter can be self-serving, and a register may simply copy that letter. Those are not two independent witnesses. I will add a column explaining how sources relate to each other so we do not mistake repetition for corroboration. For oral contributions, we can let contributors review the written record of their account before it enters the working file. We should preserve corrections and explain changes, rather than silently replace earlier versions.

Disagreement over consultation and public display

10 · ElenaVisitor Experience

I would like to take the display question next. Removing the drum immediately might imply that we have already reached a finding, while leaving the existing label unchanged implies that there is nothing to question. Neither message is accurate. My preference is to keep the object visible for now with an interim label acknowledging the request and the incomplete acquisition history. We can also explain that a review is underway. However, I do not want to name community contributors without their permission. A visitor's curiosity does not create an entitlement to personal details or to information about a restricted ceremony.

11 · TomasCommunity Partnerships

I understand the concern about implying a finding, but the council specifically asked us to stop displaying the drum during consultation. They describe public display as a continuing use of an object whose ceremonial status we have not understood. If we keep it visible because we want a balanced message, we may overlook the substance of their concern. Could we temporarily move it to secure storage and put an explanation in the case? We can say the change is a precaution during consultation. That would not determine ownership, and it would avoid requiring contributors to negotiate while the disputed use continues.

12 · AmaraCollections

That changes how I see the interim step. We should separate a reversible display decision from a permanent ownership decision. I support moving the drum to storage while inviting all three groups to discuss access arrangements. Ben, please confirm whether moving it within the building creates any conservation concern. Elena, the empty case could explain the review without turning absence into a dramatic spectacle. We should not use a silhouette or a photograph if those raise the same cultural concern. Before choosing an image, ask the contributors whether an image is appropriate. Their objection may concern representation as well as the physical object.

13 · BenCollections

An internal move is straightforward if our conservation staff use the existing support cradle. The drum's surface is fragile, so handling should be limited, but there is no reason it must remain in the gallery. I will arrange a condition report before and after the move. I also want to flag a separate issue: our digital catalogue includes high-resolution photographs that can be downloaded. Moving the object will not address that form of access. We should ask the groups which images, if any, they consider suitable for public use and temporarily disable downloads while we seek that guidance.

14 · ElenaVisitor Experience

I accept that approach. I had focused on avoiding a misleading impression and missed how continued display could affect participation. We can explain a temporary change without making a final claim. I will draft wording that acknowledges the request, describes the review, and distinguishes documented facts from unresolved questions. For the digital catalogue, I suggest retaining basic identifying information while pausing image downloads and replacing thumbnails with a neutral text notice. We should check whether contributors want the object's ceremonial name displayed. A name can carry meaning that our catalogue treats as an ordinary search term, and we should not make that assumption.

Designing a fair review and handling sensitive knowledge

15 · SoraCommunity Partnerships

We still need to resolve representation. Inviting only the council would be efficient, but it would leave the two associations feeling excluded. Inviting everyone into one large session could also silence differences. I propose separate listening sessions first, followed by a shared discussion only if the groups want one. Each session should use the same open questions about history, present responsibilities, and desired outcomes. We can offer written contributions as well. No group should lose its opportunity because its members cannot attend a video call. We need a process that makes room for disagreement without expecting the museum to choose a community spokesperson.

16 · TomasCommunity Partnerships

There is one complication. The council asked for a quick answer, while the associations want time to consult elders who do not use email. If we set a short deadline, the most digitally connected group could shape the review disproportionately. I suggest offering a six-week contribution period, with extensions discussed openly when access barriers arise. We should explain why we need time and ask whether there is a ceremonial date that makes the request urgent. If there is, we can explore temporary access without demanding that everyone finish the permanent review first. That is different from assuming that urgency makes careful research unnecessary.

17 · BenCollections

For sensitive contributions, I recommend a consent matrix. Contributors can indicate whether information may be used in the internal review, shared with the committee, or published. Those are separate permissions, and silence should not count as consent. We also need to explain that the committee must see enough evidence to assess the request. If a contributor permits no onward sharing at all, we can discuss a confidential presentation or a description they approve. We should never promise absolute secrecy and then discover that our process requires disclosure. The research file needs restricted access and a named custodian who records every authorized release.

18 · AmaraCollections

The review should also have an independent chair. I have cared for this collection for twelve years, and my expertise is useful, but I should not control how a request concerning my own collection is assessed. I will ask the committee secretary to nominate a chair with no prior involvement in this acquisition. The community groups should be able to comment on that nomination before we finalize it. Our recommendation will distinguish areas of agreement, remaining disagreements, and evidence we could not obtain. An unresolved point should stay visible. We should not manufacture consensus simply to make the committee's paper easier to read.

Decisions, owners, and completion dates

19 · AmaraCollections

Here is the decision record I propose. We will remove the drum from public display temporarily, pause public image downloads, and begin a consultation that can support an eventual return recommendation without predetermining it. The change in display is a precaution, not an ownership ruling. Ben will coordinate conservation and complete the internal move by Monday, October twelfth, at five p.m. Korea time. Elena will publish the interim notice at the same time. Sora will invite contributions from all three groups. Please identify any part of that record that does not match what we have actually discussed before I send it to the committee secretary.

20 · SoraCommunity Partnerships

I will prepare the invitation package by Tuesday, October thirteenth, at two p.m. Korea time. It will include the questions, the six-week contribution window, interpretation options, compensation arrangements, and a plain-language explanation of the decision process. The proposed window will run from October fourteenth through November twenty-fourth, inclusive. I will ask each group whether those dates allow meaningful participation, so the window can change if access needs require it. Tomas will maintain the contact log, but we will not circulate personal contact details across the groups. Each contributor will receive the consent choices before sharing sensitive information, rather than after we have collected it.

21 · BenCollections

I will deliver the first evidence map by Thursday, October fifteenth, at noon Korea time. It will identify confirmed facts, source relationships, and unanswered questions, without scoring the communities' accounts against a supposed documentary gold standard. I will be the custodian of the restricted research file and maintain a record of approved sharing. Before the drum moves, conservation staff will document its condition and agree on the handling procedure. I will also review our existing photographs for restrictions requested during consultation. If a contributor asks us to remove information already online, I will notify Elena immediately and record how the request was addressed.

22 · ElenaVisitor Experience

I will provide the draft notice to Sora by Sunday, October eleventh, at four p.m. Korea time, giving her time to check its accuracy with the contacts who are available. We will not require all contributors to approve a short administrative notice before taking the precaution they requested. The initial wording will avoid names, ceremonial details, and images. Later interpretation can be developed collaboratively after consent is clear. I will check that the physical case and digital catalogue explain the same temporary arrangement. Our visitor staff will receive a short briefing that helps them acknowledge uncertainty without speculating about the eventual decision.

Next review and closing commitments

23 · TomasCommunity Partnerships

Before we finish, I want to check how we respond if the groups disagree about the eventual destination. We cannot solve that question by counting responses, because a consultation is not a popularity contest. I will record each group's reasoning and ask what decision mechanism they consider legitimate. If we need outside facilitation, I will bring that need back to this group. I will also ask whether contributors want separate access visits while the drum is in storage. Access discussions will not be described as acceptance of museum ownership. That distinction matters, especially when someone wants to examine an object while continuing to request its return.

24 · AmaraCollections

Our next internal review will be Friday, October sixteenth, at ten thirty a.m. Asia/Seoul, for thirty minutes. We will assess the evidence map, the consultation invitations, and the completed display changes. That meeting will check whether the process is fair and usable; it will not decide the return request. I will circulate the proposed independent chair's name before then so colleagues can identify any overlooked conflict. Thank you for challenging the initial assumptions today. We have changed the immediate use of the drum while keeping the final decision open, and we have established responsibilities that communities can question. That is the basis on which we should proceed.

01 · AmaraCollections

02 · BenCollections

03 · SoraCommunity Partnerships

04 · TomasCommunity Partnerships

05 · ElenaVisitor Experience

06 · AmaraCollections

07 · BenCollections

08 · SoraCommunity Partnerships

09 · BenCollections

10 · ElenaVisitor Experience

11 · TomasCommunity Partnerships

12 · AmaraCollections

13 · BenCollections

14 · ElenaVisitor Experience

15 · SoraCommunity Partnerships

16 · TomasCommunity Partnerships

17 · BenCollections

18 · AmaraCollections

19 · AmaraCollections

20 · SoraCommunity Partnerships

21 · BenCollections

22 · ElenaVisitor Experience

23 · TomasCommunity Partnerships

manufacture consensus

We should not manufacture consensus simply to make the committee's paper easier to read.
